About The Role

Your role will entail you working closely with our Depot Manager and operational staff on a daily basis to ensure that the depot runs smoothly and that each and every one of our customers is serviced on time, every time. You will also interact with other functions within our operation, including our routing team that are based in our head office in Crewe to provide continual support to the self employed drivers throughout their day, and assist them by dealing with any issues that may arise.

Here's What You Can Expect To Be Doing

As Transport Administrator you will ensure that the daily depot operation runs effectively at all times, whilst ensuring legal compliance with transport legislation and working time directive is maintained. Our customers are at the heart of everything we do and through your support to our Depot Manager, your colleagues and the self-employed drivers you will be a vital part in making this happen. You will;

  • Record, and ensure vehicle defects are communicated to the Depot Manager/de-briefers and Nightshift Supervisors to maintain fleet integrity.
  • Allocate routes to our self-employed driver’s for the following day, using agreed metrics so that expectations; are managed fairly and consistently.
  • Update all required daily reports for the depot and log any issues in agreed timeframes.
  • Communicate with the driver’s to ensure that all required paperwork is completed at the earliest opportunity, and is correct.
  • Ensure that all licence checks are completed for new self-employed drivers and are maintained in line with regulatory bodies through DVLA
  • Order depot supplies as and when required
  • Control the depot’s fuel card process - issuing, reporting any losses and maintaining correct amount(s) are available and in use.
  • Raising purchase order’s when required
  • Record additional payments for authorisation by Depot Manager
  • Complete site checks; and report any issues that may affect safe working practices

You need to be able to build lasting, effective relationships both internal & external and be able to communicate at multiple levels with people around you, even under pressure and in difficult situations. You must be smart enough to think on your feet and have a passion to drive our performance, paying attention to detail so the service we deliver to our customers is of the highest standards possible. Being bold enough to make key decisions quickly and trust your own judgement in the absence of the depot manager, is what will set you apart.

Experience

  • An understanding of transport legislation and logistics operations
  • Experience of working to tight deadlines
  • Experience working in a transport/logistics environment with daily fluctuating workloads
  • Able to react quickly to information, helping solve any challenges that arise in a timely manner.

Skills

  • Able to remain calm and focused under time pressure
  • Able to solve problems independently and with confidence
  • Able to communicate effectively especially by email & phone
  • Has a logical and methodical approach to all tasks

Technical

  • PC literate including microsoft packages
  • Can use excel to intermediate/advanced level
  • Experience using in-house transport management systems is an advantage
